1.1 Who we are

Uk Special Risks Limited (UKSR) will be what is known as the “controller” of the Personal Data you provide to us. UKSR’s company registration number is 04010256 and the registered address is: First Insurance Solutions House, Centre 3000, St. Leonards Road, Maidstone, Kent ME16 0LS.

 

1.2 What information we need to collect

In order to provide you with the insurance services you require we will need to collect Personal Data which will include your name, work address, email address, involvement with other businesses and financial history. We will also require some Personal Data which falls under the Special Categories of Personal Data such as criminal record information or Health information.

The Special Category of Personal Data requested will only extend to what is required to provide you with the insurance services you need and nothing more.

 

1.3 Why we need it

We need the aforementioned information in order to provide you with the Insurance Broking Services you have engaged us to provide and to assert our right to be recompensed in return for these services, as per the services agreement or contract we have with you. If you do not provide this information then we will be unable to provide the services you have requested. We will not collect any data from you that we do not need in order to provide and oversee the services we have agreed to provide you with.

We also use your Personal Data in order to keep you up to date with our services. You can choose to unsubscribe from our marketing at any time via the unsubscribe option on any communication from us or via email.

 

1.4 What we do with your information

The data you provide will be processed by our staff who are based in the United Kingdom. Should you wish for us to provide you with any of our services then your information will be passed to insurers to obtain quotations for you and a credit checking company who will undertake the necessary checks. As we are typically whole of market insurance brokers, the list of insurers approached will be dependent on the type of insurance required therefore a list of insurers who will be approached specifically to handle your insurances can be provided upon request. Your information may also be provided to other third parties such as claims management companies or breakdown companies however this information will not be used outside of the scope of the requirements of the operation of your insurance policies as per Article 6 of the GDPR or other processing laws.

Some of these insurers and third parties may be based within the European Union. Where they are not based within the European Union you will asked for your permission to approach them for a quotation.

Some of the information you provide us with may be stored on a cloud-based system whose servers are located within the European Union. We will take all reasonable steps to ensure that your Personal Data is processed securely.

Insurance involves the use and disclosure of your personal data by various insurance market participants such as intermediaries, insurers and reinsurers. The London Insurance Market has produced a Core Uses Information Notice which sets out those core necessary personal data uses and disclosures throughout the insurance lifecycle, and in particular sets out how other insurance market participants process your personal data. 1.5 How long we keep it 

Should you choose to go on cover, following receipt of our quotation we will retain your information in accordance with the requirements of the insurance policy, for some insurance policies this may be indefinitely.

If you choose not to go on cover then we will retain your quotation details for 10 years. If we have not communicated with you further during this time we will delete the sensitive Personal Data we have but we will retain your contact details so we may contact you again in the future regarding your insurance needs.

If you consent to marketing, any information we use for this purpose will be kept with us until you notify us that you no longer wish to receive this information.

 

2.1 IP Addresses and Cookies

We may place a text file called a “cookie” in the browser files of your computer. The cookie itself does not contain Personal Information although it will enable us to relate your use of this site to information that you have specifically and knowingly provided. However, the only Personal Information a cookie can contain is information you supply yourself. A cookie can’t read data off your hard disk or read cookie files created by other sites. UK Special Risks Ltd uses cookies to track user traffic patterns (as described above). Our advertising system delivers a one-time cookie to better track ad impressions and click rates.

You can refuse cookies by turning them off in your browser. If you’ve set your browser to warn you before accepting cookies, you will receive the warning message with each cookie. We underwrite some specialist schemes and these are subject to automatic decision making (decisions based on profiling and without staff intervention).

The data used for automatic decision making is to ascertain whether to accept or reject a risk and the level of premium applied.

The type of Personal Data which may be required are:

  • Individual details
  • Financial Information
  • Risk details – this may include data relating to your health, criminal convictions or other special categories of Personal Data.
  • Policy Information
  • Credit and Anti-fraud data – such as your credit history.
  • Claims

No Personal Data will produce an automated decline, this will instead be referred for review by human intervention prior to the final decision being made.

 

3.2 Your rights 

Under data protection legislation, you have several rights regarding the use of your Personal Data, as follows:

If at any point you wish to either confirm whether your Personal Data is being processed and/or access the data we hold on you, you can request to see this information, and we will aim to respond to this request within a month.

You also have the right for certain data you have provided to UKSR to be provided to you in a structured and commonly used electronic format (for example, a Microsoft Excel file), so that you can move, copy or transfer this data easily to another data controller. You may also request that we transmit this data directly to another organisation where it is practical for us to do so.

You are entitled to have data deleted if it is no longer needed or there is no longer a legitimate reason for the processing, or if the data in question has otherwise unlawfully been processed. You may also request deletion of your Personal Data if it was only being processed as a result of you consenting to this and you now withdraw your consent.

You have the right to object to the processing of your Personal Data (note that this only provides you with the right to raise your objections, not a blanket right to have any and all processing cease).

You have the right to restrict the processing of your Personal Data under certain circumstances, including if you have consented to its accuracy and while this is being verified by UKSR, or if you have objected to its processing and while UKSR is considering whether it has legitimate grounds to continue to do so.

 

3.3 How to complain about the use of your data
